Set up notes: Depending on which of our courses will be at your event, setup/course build can take anywhere from 2-4 hours. If your preference is to build the same day your event starts, please provide plenty of buffer time for the team to build and then be ready for the start of the event. We are also typically able to come the day before an event to build the course and have it ready to go if that works well with your schedule/venue. Important Set-up / Break-down Notes:

 

Some of our equipment is EXTREMELY heavy and requires extra help for the 2 ½ - 4 hour set up and the 1 ½ - 2 hour break down.  We prefer setting up indoors if possible (depending on event and course being used), but outdoor is not a problem. Double doors are required for an indoor set up.  Please remove the middle bar and ensure there is sufficient lighting before arrival.

Our courses work best with the floor size of a full gym (somewhere around 84' x 50'); however, this is not a requirement. Our equipment is flexible enough to make a lot of different spaces work, and we can condense and/or expand our setup to create an ideal setup for your event.

We depend on volunteer help to make these builds possible and to keep costs as low as we can. If you can provide a volunteer team to help with the build, please indicate below. If you're unable to or would prefer not to provide a volunteer team, we also offer an option for us to bring in a build crew for an additional cost. Please indicate below if that would be your preference.

VOLUNTEERS during the Event:  4 adult volunteer spotters are necessary. Spotting is not hard.

MERCHANDISE: We may have merchandise available for purchase depending on the event/location/course utilized. We typically request two 8-ft tables for setting up these items.

SOUND:  Please provide a sound system with a wireless handheld microphone, as we do not carry our own.

PAYMENT:  Final payment for events is due on the day of the event or the final day of a multi-day event. A check can either be handed to our team onsite, or it can be mailed to the address listed above. If a payment is to be mailed, please inform our team ahead of time. If payment is not received by the final day of the event, a $250 late fee will be assessed (we rely heavily on these honorariums to be made in a timely manner in order for our ministry to operate). Thank you!

RELEASE FORMS:  Please indicate your preference below on handling release forms for participants

 

Important note if utilizing the Overcoming Obstacles waiver/release:  The waiver can be found at https://obstacleminstry.com/waiver and can be filled out there or printed from there and provided as a physical copy to participants. If filled out online, participants should receive a confirmation email that they can show at check-in. If they don't receive an email, please have them check their 'spam' folders, or re-submit the form, as it's possible they mistyped their email address. They can also fill the waiver out and show the confirmation screen in their browser at check-in.

Cancellation Policies

 

Deposits are non-refundable. If event is canceled less than one month before event date, total cost must be paid in full.

If Overcoming Obstacles is forced to cancel the event, you will be entitled to a full refund of all money paid, including deposit.

If weather or other unforeseen circumstances were to occur, then both parties will work to reschedule the event. If it is not possible to reschedule, then a full refund will be given.

 

I/We have read this agreement and hereby accept the stated policies and requirements.

If necessary, Overcoming Obstacles reserves the right to re-negotiate the terms of this contract with the signer.
