Additional Details:

Event cost includes the cost and planning of any flights, travel and lodging for our entire team, which will be coordinated and booked by our administrative assistant. This also includes 4 team members from Overcoming Obstacles that will facilitate volunteers to help with the build, with the flow of the obstacle play times, and with the breakdown. This also includes all the costs involved in bringing in ninjas from ANW to work with teens and children. This also involves Jared Greer staying to speak on the Sunday morning following the event. Our team will lead the build on Monday in the morning at the time that fits your team’s schedule.

Overcoming Obstacles will, at minimum, provide these obstacles:

Agility Course Race Lanes - 50' long

2 Warped Walls - 10' tall and 15' tall

Double Salmon Ladder - 13' tall

Grip Structure that is 15'×20' with a minimum of 5 lanes of hanging obstacles

Various other obstacles that will provide a fun ninja experience appropriate for the children and teens that will be at the event

Event Indemnification - As To All Third Party Claims. Overcoming Obstacles Ministries agrees to indemnify and hold harmless Immanuel Church of the Nazarene - Lansdale, PA and their insurance carriers, and all others in privity with them, from any and all claims, liabilities or causes of action, including without limitation death, disability, bodily injury, loss of consortium, or any other loss, damage or harm whatsoever arising from individuals participating in the above referenced event. 

Insurance - At all times relevant to this Event, Overcoming Obstacles Ministries shall maintain a general liability insurance policy providing coverage of at least ONE MILLION DOLLARS ($1,000,000.00) per occurrence. At all times relevant to this Event, Overcoming Obstacles Ministries shall have Immanuel Church of the Nazarene - Lansdale, PA named as an additional insured on such policy. While Immanuel Church of the Nazarene - Lansdale, PA will maintain its own insurance coverage for this Event, Overcoming Obstacles Ministries' insurance coverage shall be primary and not seek contribution from any other insurance available to Immanuel Church of the Nazarene - Lansdale, PA.

Clearances - Overcoming Obstacles will provide whatever clearances are needed for the state of Pennsylvania for all members of our team.

 

Important Set-up / Break-down Notes:

 

Some of our equipment is EXTREMELY heavy and requires extra help for the 2 ½ - 3 hour set up and the 1 ½ - 2 hour break down.  We prefer setting up indoors if possible (depending on event and course being used), but outdoor is not a problem. Double doors are required for an indoor set up.  Please remove the middle bar and ensure there is sufficient lighting before arrival.

We depend on volunteer help to make these builds possible and to keep costs as low as we can. If you can provide a volunteer team to help with the build, please indicate below. If you're unable to or would prefer not to provide a volunteer team, we also offer an option for us to bring in a build crew for an additional cost. Please indicate below if that would be your preference.

Final Logistics / Volunteer Notes:

 

VOLUNTEERS during the Event:  4 adult volunteer spotters are necessary. Spotting is not hard.

MERCHANDISE: We may have merchandise available for purchase depending on the event/location/course utilized. We typically request two 8-ft tables for setting up these items.

SOUND:  Please provide a sound system with a wireless handheld microphone, as we do not carry our own.

RELEASE FORMS:  Please indicate your preference below on handling release forms for volunteers

 

Cancellation Policies

 

Deposits are non-refundable. If event is canceled less than one month before event date, total cost must be paid in full.

If Overcoming Obstacles is forced to cancel the event, you will be entitled to a full refund of all money paid, including deposit.

If weather or other unforeseen circumstances were to occur, then both parties will work to reschedule the event. If it is not possible to reschedule, then a full refund will be given.

 

I/We have read this agreement and hereby accept the stated policies and requirements.

If necessary, Overcoming Obstacles reserves the right to re-negotiate the terms of this contract with the signer.
